Welcome to our September newsletter.

In this edition of the newsletter we give you the new employee tax rates and tell you how to enter them into AM-Win.  We've also issued a must read advisory about an annoying and intrusive computer worm called WORM_MYTOB.FQ that sends out scam e-mails that look as if they come from the AM-Win Support Team.  We also have a winner in our DOB in a mate competition.  

Once again Viki and Maryanne from The National Support Centre provide some useful AM-Win tips and for those battling with the ever increasing onslaught of spyware we introduce Microsoft® Windows Anti-Spy-ware (Beta). 


Maryanne has reported that many users are still having difficulty determining the location of AM-Win on their systems when updating.  Now that updates from most software suppliers [including AM-Win] are nearly always downloadable from the internet we have written and published a support document that lays out the steps to take to find a file or folder on a single or networked PC. This document has been included under Windows Tips as it is relevant in a great many "Windows" situations.

New Employee Tax Rates

On the first of July new tax rates for employees came into effect which reduced the tax that your employees have to pay. The following screen from AM-Win shows the new tax rates set up in AM-Win. The new tax scales can be manually added into AM-Win through the wages entry screen and by clicking the "sho tax" button. The tax rates will then be automatically applied by AM-Win as you process employee wages.

The next update which will be available shortly will have the tax scales built in.  

WORM_MYTOB.FQ

Please read this information even if you have virus detection enabled. It contains relevant information for all users of AM-Win.

WORM_MYTOB.FQ uses the domain name that it has found in the computer's [with the worm] address book with the "domain name" support team as it's signature. In this case am-win.com.au.  You may however receive the same messages from other domain names.

So if an Am-win's user is infected and they have anyname@am-win.com.au in their address book it will pick up the domain name and use it as the basis for the document that it sends out to everyone else in the address book. 

The WORM_MYTOB.FQ sends out several different types of "scam" e-mails. The scam e-mail may be signed by the AM-Win Support team and may relate to you as an AM-Win client. The subject and the content may also contain information threatening to close your account because of something that you have done or not done.  If you receive these e-mails please ignore and delete them. They have been sent to you by someone who has the worm infecting their computer and has your name in their address book.

Here's a couple of sample e-mails that we have received.

Dear user ted,  

It has come to our attention that your Am-win User Profile ( x ) records are out of date. For further details see the attached document.

And for those who haven't got virus protection yet you probably have a virus by now that's causing grief to your mates in your address book and you don't even know it.  Please contact National Support on 07- 3802-8076 or your AM-Win Consultant and get them to install virus protection [it's not expensive] that will protect both your systems and those of your friends and associates.

Microsoft® Windows Anti-Spy-ware (Beta)

Microsoft have released a Beta [test] version of their new anti spy ware program for free download to users of MS Windows 2000 and XP.

The product is designed to help protect users of Windows products from spyware - unwanted software that can be secretly installed on users computers for a variety of purposes, such as bombarding them with pop-up ads, hi jacking home pages, collecting personal information and tracking Internet usage.

Microsoft has repeated what most savvy computer users understand -  anti-spyware tools will help users keep their computers running faster and with fewer Web-related glitches.

The beta, which is available for download on the company's Web site, was built using technology Microsoft gained through its December acquisition of Giant Software, which specialised in spyware-fighting tools. Microsoft said that in addition to loading the software with the capability to combat many known strains of spyware, the company will continue to research emerging forms of spyware and to offer automatic updates to the product to fight new threats.

Some AM-Win Distributors are installing the new spyware software on new PC's and report that the application is very fast, does a good job of explaining what it can do, has done, or wants to do with spyware infections and has found spyware applications on PCs that have been missed by other applications - and best of all it's free. So having said that if you haven't got spy-ware protection on your machine at home or at work there isn't a better time. Click here to read more and download

Purchase Orders - Lock button
In version seven of AM-Win purchase orders have the ability to lock an invoice or purchase order. 

If the document is locked then only that user or a user with a 99 level password can unlock the document. Once a document is locked it cannot be updated, or added to or changed etc. It can however be printed as a job card or an order or proforma etc. It can’t be deleted unless unlocked also.

Supplier Payments screen
In version seven of AM-Win Supplier Payments screen when paying an account you can now tag invoices that you want to pay first, which will add to the "Left to Post" field and then enter that amount in the "Amount" field, press the "tab" key and click on Process or F12. 

This is handy if you don't know the amount you are going to pay, only the invoices. You can also enter the amount first, as normal, then click on Auto Post or double click on the invoices you are paying and then Process.

Ability to Finalise a Zero POS Invoice
In version 7 now, you have the ability to finalise a zero POS invoice. This makes life easier when a customer comes back and returns an item. You can re-invoice the customer for the replacement item and create a negative line (negative qty) for the item returned. You can then finalise the zero value Pos invoice.

GST Audit Trail
The GST Sales and Purchases report allows you to print a single GST type so that you can print only a specific GST type to be audited. This means for example that you can print a report of just GST free sales items or just capital acquisitions etc.

Doing Journals to Any Period
Journal Entries can be done for any period within the current or previous financial year. This means you can forward date or backdate a journal within a 24 month range. The date of the journal will determine the period for the transaction. 

If you journal to an asset account in the previous year then the carried forward balances for that account for the current year will reflect such changes. If you were to journal to an income or expense account for the previous year then the 3030 "Unappropriated Profit/Loss" account carried forward will be changed to reflect the previous year trading balance which was cleared at the end of the financial year and the balance placed into the 3030 account.

This document has been included under Windows Tips as it is relevant in a great many "Windows" situations.

On the way you'll also learn how to use the "Find or Search" command in Windows [in both 98 and XP] to locate information [pictures or other files] on your computer's hard drives. You'll also use some of the shortcut keys that we have shown you in recent newsletters.

OK - let's go - We are going to show you 2 different ways to find out where a program is living on your PC 

First the easy way - have a look at the properties of the program under the program's icon on the desktop.

Let's take AM-Win as an example

Use the Windows Key [between the "Ctrl" and "Alt keys] plus the "D" key to open your desktop and minimise all other open programs.

Now find the AM-Win program icon like the one below.

Now right click with your mouse on the icon.

You'll see a window open that looks something like the one below.

OK - now click on properties - always the last item in the drop down menu

Click on the "shortcut" tab in the properties box that opens and have a look at the Target field.  The first letter shows the drive where your program is installed. In this case it's drive "N".  

The word after the :\ [in this case amwin ] denotes the folder where the program lives and the next word after the next \ [amwin.exe] is the name of the file that starts up the program.

Using the "find" [in Windows 98] or the "search" [in WinXP] 

Ok - lets use the "find" [in Windows 98] or the "search" [in WinXP] to find the same amwin folder but on a different machine.

Open your start menu using the "ctrl" and "Escape" keys together. [Much faster than a mouse.]

You will now see your start menu. In Win98 you will see the "find" command which when moused over shows "files or folders" as per the image below.

On XP it's slightly different but the concept is the same

When you open your start menu you will see something like the image below.

Click the search button and you will open a screen similiar to the following

Click the "All files and folders" button as shown above.

Now type in the word "amwin" in the file name box as per the above example. [Note that if you're looking for a picture named "mydog" that's what you would type in the file name box.

If you have XP it will automatically detect your drives [the example shows drives C,E and F]  If you are using Win98 you will have to select and search each drive separately.

Click the "Search" button to start the search.

Your computer will now start searching and return something that looks like the following screen.

You will see that the search results show a folder with AMWIN next to it. And further across the page the "In Folder" column shows E.  So you have located the AMWIN folder and you now know that it lives on your E drive on your computer.

Note:

If the right hand side of the search screen shows a series of icons instead of a nice neat list try this.

At the very top of the screen you will see a row of menu items.  Click on view and then on details as per the image below. The icons will change from a hodge-podge of icons to a neatly ordered list.

Using these methods you can now find any folder, picture or file on your computer no matter how big your hard drive.

Waiter & The Spoon
A man entered a restaurant and sat at the only empty table. As he sat down, he knocked the spoon off the table with his elbow.

A nearby waiter reached into his shirt pocket, pulled out a clean spoon and set it on the table. The diner was impressed. "Do all the waiters carry spoons in their pockets?" The waiter replied, "Yes. Ever since we had that efficiency expert out, he determined that 17.8% of our diners knock the spoon off the table. By carrying clean spoons with us, we save trips to the kitchen."

The diner ate his meal. As he was paying the waiter, he commented, "Forgive the intrusion, but do you know that you have a string hanging from your fly?" The waiter replied, "Yes, we all do. Seems that the same efficiency expert determined that we spend too much time washing our hands after using the men's room. So, the other end of that string is tied to my penis. When I need to go, I simply pull the string to get my penis out, go, and return to work. Since I don't actually touch myself, there's no need to wash my hands. Saves a lot of time."

"Wait a minute," said the diner. "How do you get your penis back in your pants???"

"Well, I don't know about the other guys, but I use the spoon!!!"

Ol' Fred
Ol' Fred had been a faithful Christian and was in the hospital, near death. The family called their preacher to stand with them.

As the preacher stood next to the bed, Ol' Fred's condition appeared to deteriorate and he motioned frantically for something to write on.

The pastor lovingly handed him a pen and a piece of paper, and Ol' Fred used his last bit of energy to scribble a note, then suddenly died.

The preacher thought it best not to look at the note at that time, so he placed it in his jacket pocket.

At the funeral, as he was finishing the message, he realized that he was wearing the same jacket that he was wearing when Ol' Fred died. He said, "You know, Ol' Fred handed me a note just before he died. I haven't looked at it, but knowing Fred, I'm sure there's a word of inspiration there for us all."

He opened the note, and read, "Please step to your left -- you're standing on my oxygen tube!"

The Penguin
A vacationing penguin is driving through Arizona when he notices the oil-pressure light is on. He gets out to look and sees oil dripping out of the motor. He drives to the nearest town and stops at the first gas station. After dropping the car off, the penguin decides to take a walk around town. He sees an ice cream shop, and being a penguin in Arizona, decides that something cold would really hit the spot. He gets a big dish of vanilla ice cream and sits down to eat, but having no hands, is forced to make a real mess trying to eat with his little flippers. After finishing his ice cream, he goes to the gas station and asks the mechanic if he's found the problem. The mechanic looks up and says, "It looks like you blew a seal." "No, no," the penguin replies, "It's just ice cream."
