Adobe scam e-mail

Here's an e-mail that came to us a couple of weeks ago. It's a great bit of work because it ticks all of the right boxes to make it look legitimate.

The scammer has gone to a great deal of trouble to fool recipients even to the point of using an Adobe like e-mail address.

However it is a scam e-mail - please do not open it or click any of the links if you receive it.

Understanding the General Ledger Masterfiles

Many new clients have joined us over the last 6 months and while the old hands probably know their General Ledger backwards we felt that this would be a great time to offer a revision and support document for those who are still coming to terms with their assets and liablities and Chart of Account in General.

The General Ledger Masterfiles

This option allows you to create general ledger accounts or to revise an existing account that has already been created. Each section of the General Ledger Accounts contains the facility to create 999 Accounts.

To access the General Ledger Masterfiles click on the 7th icon from the left of the top of the screen or go through the main menus, selecting Ledger>Masterfiles. The General Ledger Masterfile screen will appear.

To revise an existing general account that has been created, enter the ledger code or left click on the ledger code and this will highlight the ledger file and the ledger details will automatically appear. You can also click on the by Name tab, which will allow you to search for a ledger by the name of the ledger account. Change the information by left clicking into the fields, and typing into them. Don’t forget to save your changes!

When AM-WIN is first installed some General Ledger Accounts are automatically set up.

To view the Chart of Accounts in the General Ledger from the main AM-WIN menu left click and choose Reports > Accounting > Chart of Accounts. Or from the General Ledger Masterscreen, click on the Chart of Accounts Button (F4).

Some of these Accounts are used by AM-WIN when processing stock sales, purchases and assets accounts. Therefore these accounts should not be changed. It is preferable to add new accounts rather than rename and/or modify existing accounts.

Create or revise a general ledger file.

In the AM-WIN window, click the General Ledger Master File icon (7th icon from the left) or from the menu choose Ledger, left click and choose Masterfiles, left click. The General Ledger Master File window appears.

The ledger window shows the balances for each ledger account for each month of the financial year.

Note:

Note that these balances are monthly transaction balances and not the balance of the account at that point. This means that the total balance of the selected account is the balance carried forward from last year + all of the months added together.

You can also view balances from previous years by changing the financial year on the screen back to a previous year.

Choose Insert to add a new ledger code. The Ledger Code dialog box appears. Enter the Ledger Code. Select OK.
 



You then have the choice to enter an alternate code. This code may be the corresponding code your accountant uses in his system so that when ledger reports are printed you can print them in a format that your accountant is familiar with.


GST Types - Enter from the menu GST, No GST, Acquisition, and N/A.

Name – Enter the description of the General Ledger Account.

Alternate Account Code – This allows you to enter your accountant’s equivalent code so that when printing reports that you want to provide to your accountant, their account numbers appear in front of each ledger code so that it is easier and quicker for your accountant to recognise what goes where in the ledgers.

Location - You can Setup as many as 9 different cost centres or departments in AM-Win. You can then get a profit and loss report on each of the departments as if they were separate businesses of sections of the business.

Previous Year Balance – Enter balance amount from the previous year.

YTD Balance – This field is only accessible when Accounts are first added and in ‘Revise’ mode when no transactions have taken place. This field is automatically updated as transactions take place.

Account Balance – This field is automatically updated and displays the account balance for the particular ledger.

Choose Save to add and save details. Choose Delete to delete a general ledger file.

Note: A general ledger file cannot be deleted while a balance exists.

Ledger Masterfiles Buttons

Enquiries – F3 Button –This option will open the Enquires window with the selected ledger chosen for the current month.

Chart of Accounts Button – F4 – This option will present a list of General Ledger accounts and information of what GST type they are (eg: GST, GST free, acquisition), as well as the Sell and Cost price.

Income Statement Button – F5 

By Summary:

This report will give you YTD and MTD figures for each of the ledger accounts, as well as a summary of the workshop net profit, sales net profit, and other net profit.

In the Ledger Income Statement Option window, left click on the arrow next to the Report Type field. Choose from Ledger, or Department.

Note: if you choose department, the ledger accounts in the report will be presented under either the Revenue Department, or the Expenses Department.

There is an additional field under this report that allows you to tick the box indicating that you want to show the external account number details. This is the account number that your accountant uses which you can set up from the Ledger Masterfiles screen to assist your accountant in understanding your financial reports.

Ignore Zero Ledger Balance – If ticked then the system will not print ledger accounts if the balance of the account is zero.

Left click the Go button.

By Dissection.

This will produce an Income Statement report showing all of the months from July to June for the selected financial year so that you can make a month-by-month comparison.

Trial Balance Button – F6 

By Summary:


Trial balance report provides a list of all general ledgers and at the bottom of the report the cumulative value of all these GL accounts is shown. This value should in all cases be zero for the total of the report because AM-WIN is a double entry book keeping system. This report will automatically load once it is selected from the Accounting Reports menu. You are then required to select the financial year and the period the report is to be printed for.

There is an additional field under this report that allows you to tick the box indicating that you want to show the external account number details. This is the account number that your accountant uses which you can set up from the Ledger Masterfiles screen to assist your accountant in understanding your financial reports.

Ignore Zero Ledger Balance – If ticked then the system will not print ledger accounts if the balance of the account is zero.

By Dissection.

General Ledger Setup

The General Ledger is a framework of Accounts used by the Accounting System for the storage of all opening balances, YTD balances, monthly balances and values processed by transactions on an ongoing basis.

Note: The Accounts are divided into the following Groups:

Assets (1000-1999) – What the Business Owns.

Liabilities (2000-2999) – What the Business Owes.

Capital (3000-3999) – A reserve to create a balance against Assets and liabilities when you first set up the SUM system with an Opening Balance.

Production Revenue (4000-4999) – Revenue from work carried out of a workshop or productive nature.

Production Costs (5000-5999) – Any Costs involved of a workshop or production nature.

Sales Revenue (6000-6999) – Revenue from Sale of stock and non-stocked items.

Selling Expenses (7000-7999) – Expenses incurred purchasing the above stock items.

Other Revenue (8000-8999) – Revenue from other source other than Production and Sales.

Admin Expenses (9000-9999) – General Business Expenses.

The above Accounts are created from the General Ledger Masterfiles.

The General Ledger Accounts are grouped under the five main headings.

1. Assets 1000 – 1999

2. Liabilities 2010 - 2999

3. Capital 3010 – 3999

4. Revenue (Income)

    Production 4010 – 4999
    Sales 6010 – 6999
    Other 8010 - 8999

5. Expenses

    Production 5010 – 5999
    Cost of Sales 7010 - 7999
    Admin 9010 - 9999
    Assets - 1000-1999

Assets - 1000-1999

This Section holds the balances for the Cash on Hand, the Bank Accounts, Debtors, and All Stock held. If more Asset Accounts needs to be created consult your Accountant for Advice.

Note: It is generally a good idea to use the AM-WIN System for processing transactions in your Business, leaving Asset management and Depreciation to your Accountant.

The general ledger accounts 1020 to 1029 are allocated to be used for Bank accounts, Charge Cards and Barter Card, i.e. Amex, Fleet etc.

Liabilities - 2000 - 2999

This Section holds the balances for Creditors, Withholding Tax held, and Group Tax held.

Capital - 3000 - 3999

This Section holds the balances for Reserve Account and the Profit/Loss.

Revenue - 4010 - 4999, 6010 - 6999, 8010 - 8999

4010 - 4499 contains labour accounts. This account area is divided up so that 10 sub accounts are allocated to each workshop employee, for example, the 4010 accounts may be allocated to this employee and the accounts 4011 to 4019 will be the sub accounts for this employee.

4500 - 4999 contains the Routine type of service accounts. Use these accounts for workshop revenue on a charge for the Job basis.

6010 - 6999 contains accounts used for the sale of stock and goods ONLY (do not place labour charges here).

Note: The accounts from 6100 to 6999 will store a selling value if desired along with the cost per unit to enable profit calculations (this is handled automatically by stock sales).

8010 - 8999 contains accounts used for collecting revenue that is not of a stock sales or workshop revenue nature. This area can be used for receiving ALL OTHER revenue into your Business. Use this area for such things as Rent, collected storage charges received, green slips etc.

Expenses - 5010 – 5999,  7010 - 7999,  9010 - 9999

5010 - 5999 contains the accounts used for production and workshop expenses, including workshop wages if desired, cost of all materials used for plant maintenance, equipment repair costs, uniforms, first aid, and cleaning materials etc would be placed here.

7010 - 7989 contains the accounts used for recording the costs involved in purchasing stock and goods, any costs involved in selling that stock or goods. This will enable the system to calculate profit by deducting these costs from the revenue amounts stored in the 6010 - 6989 accounts.

Note:

Use the same last three digits you used in the revenue area to open corresponding accounts so that your revenue and expense accounts will correspond in a legible way.


9010 - 9999 contains the accounts used for recording Administration expenses. 9010 is used by the system to store any stock discrepancies entered through the stock take area. 9990 is used by the system for coinage rounding.

Note:

The system will automatically create a lot of these Accounts for you, to get you started.

Understanding the Vital Statistics Screen

The Vital Statistics Screen enables you to view full statistics and business status at a glance.

To view vital statistics

In the AM-WIN window, click the Vital Statistics icon (The last icon from the left) or from the menu, go to Ledger > Vital Statistics.

The Vital Statistics window appears.



The left side of the Vital Statistics screen details items from the balance sheet. These figures are obtained from the ledger accounts as detailed in the table below which include assets and liabilities.

The right side of the Vital Statistics window shows the income and expense ledgers (Trading figures) for the current year to date from the 1st day of the current financial year until the last entry processed in the system. It also shows the month to date figures which include the balance of all transactions that have occurred for the current processing month.

Note: This is the balance of the ‘current transactions’ for the period and not the balance of the account as at the current date.

Chart of Accounts - F4

This option will present a list of General Ledger accounts, and information of what GST type they are (GST, GST free, Acquisition), as well as the Sell and Cost price.

Income Stmnt - F5

Print - F8

Click in the Print Button to print a copy of Vital Statistics information.

Pie Chart - F9

This option will display a Pie Chart of the year to date figures for your income and expense ledgers. The more Blue you have, then the more profit you have made. If you have a lot of Pink area showing then you have made a large loss.

Below is a list of the ledger accounts associated with the different areas of the Vital Statistics report. Therefore, if a certain area of Vital Statistics does not balance, you can see what ledger accounts the problem may lie in.

Screen Hunter free is an easy to use well designed and presented professional program that does it's job quietly and efficiently. As far as I am aware it contains no bugs, no malware and no hidden advertising .

Note:

While Screen Hunter free fills the gap between Windows clipboard and other more expensive screen capture options we can only let you know that it's available. We obviously can't recommend it because it's a third party program and as usual we can't provide any support or take any responsibility for anything that goes wrong if you install it.

General MS Office Shortcuts:

Here are some "Office" shortcuts that might come in handy.

Ctrl + Alt + V : Displays the Paste Special dialog box after the completion of a cut or copy.
Ctrl + Z : Undo
Ctrl + Y : Redo
Ctrl + F : Opens the Find & Replace dialog box (except in Outlook).
Ctrl + L : Left aligns text (except in Excel).
Ctrl + E : Center aligns text (except in Excel).
Ctrl + R : Right Aligns text (except in Excel).

Specifically For Office 2007:

Ctrl + F1 : Toggle combination to minimize the Ribbon.
Alt + Arrow Keys : Alt activates the Ribbon then the left / right arrow keys will move between tabs and the up / down arrows will move between items on a tab.

Word:

Shift + F3 : Toggles selected text through the change case formats. (Uppercase, Lowercase, Capitalize Each Word)
Ctrl + Enter : Inserts a "hard" page break.
Ctrl + 1 : Applies single line spacing.
Ctrl + 5 : Applies 1.5 line spacing.
Ctrl + 2 : Applies double line spacing.

Excel:

Shift + Spacebar : Selects entire row containing currently selected cell(s).
Ctrl + Spacebar : Selects entire column containing currently selected cell(s).
Ctrl + ` : Toggles between displaying cell values and formulas in the worksheet.
Ctrl + Page Up / Page Down : Moves between worsheets in a workbook.

Editing Shortcuts:

Ctrl + Enter : Moves the cursor to the next content placeholder and creates a new slide when used on the last content placeholder on a slide.
Page Up : Moves up one slide.
Page Down : Moves down one slide.

Presentation Shortcuts:

Shift + B : Toggles between the current slide and a black screen without exiting the presentation.
Shift + W : Toggles between the current slide and a white screen without exiting the presentation.
Slide Number, then Enter : Jumps presentation directly to the given numbered slide.

Ctrl + Shift + I : Takes you directly to the Inbox.
Ctrl + Shift + O : Takes you directly to the Outbox.

A 10 Minute Guide to Format a Report in Word

This article describes a sequence of steps which can be performed to quickly create a report that is well formatted, neat and presentable.

While this tutorial is in significant detail, it should not take more than 10 minutes to perform these actions on a report (i.e. 10 minutes would be the time required to completely format a report.) At the end of it all, a few generally accepted formatting schemes are mentioned as guidelines.

Please note that different versions of Word will have functions in different places and different menu and content panes. You may have to look around a bit to find the functions shown in this article depending on your Word version.

Text Formatting (Justifying Report Content)

Select the entire content of the report.

Remove the different spacing styles by clicking on the No Spacing” icon amongst the heading styles as indicated below.

Then select all the text and click on the Justify” icon in the toolbar or use the shortcut Ctrl + J”

Adjusting Paragraph Spacing

Select the entire content of the report. Adjust Paragraph Spacing by opening the Paragraph dialog box.

Change the Line Spacing” dropdown box as required. (Normally, a line spacing of 1.5 is used in most reports). Screenshots are indicated below

Utilising the Heading Style Buttons

Many people do not realize the power of the Heading Style Buttons” which are available in Microsoft Word. These buttons can be pre-formatted with a specific heading style which can then be applied to all headings by just selecting the heading and clicking on the button.

Heading Styles 1, 2 and 3 can be utilised for section headings, topics and sub-topics respectively. This helps ensure consistency and uniformity in the formatting styles used in the report. Further this can also be utilised to generate a “clickable” table of contents.

In order to set the format of a heading style, right click the Heading Style Button” and click on Modify”.

Modify the style as required using the available options and click on OK”.

Now, to apply this style to any heading, just select the heading (or leave the cursor on the heading) and click on the Heading Style Button”.

Adding Page Borders

Select the entire report. Click on Page Layout”. Click on Page Borders”. Select a suitable style and click OK”. Screenshots are indicated below.

Header and Footer (With Report Title and Page No.)

In order to add the Header, click on “Insert >Header”. Choose a style as appropriate and add text (e.g. Report Title, Section Title, Author’s Name etc.)

In order to add a Footer, click on “Insert >Footer”. Choose a style as appropriate and add text

In order to add Page Numbers, Click on Insert >Page Numbers” and choose where to display the Page Number. The page numbers can be formatted as required.

In order to prevent the First Page from displaying the Header, Footer and Page Numbers click on the option Different First Page” while adding these. This ensures that the first page can be used for theCover Page without any of these being displayed.

Adding a Table of Contents

In order to add a table of contents, click on References >Table of Contents” and choose a style as required. This adds a table of contents (Toc) with “clickable links”. Use Ctrl + Click” to to navigate to a section of the report from the ToC.

Whenever any changes are made to the report, as a precaution before saving the report, right click the ToC and select Update Field”.

If only content is moved across pages, then update page numbers alone should suffice. Otherwise, update the entire table.

Adding a Cover Page

One can either use a pre-existing style for the Cover Page from within Word or design the cover page on their own.
In order to use an existing style, click on Insert> Cover Page” and choose a suitable style.

Additional Tips

Using Heading Text Styles will reduce the amount of effort which goes into formatting the headings while simultaneously ensuring consistency and uniformity.

Adding a Clickable Index will add structure to your report and help provide easier access to information available in long reports

Adding a Thick Page Border will make a report look more presentable, especially if it is being utilised in a soft copy format.

Excel: Hi-Light a range of cells the easy way.

Have you ever found yourself playing the highlighting game in MS Excel? You know, you're trying to select a certain area with your mouse, but instead, you find the file flying by, creating incredibly huge hi-lighted areas.

There are many keyboard tricks for hi-lighting using the Shift key combined with the arrows, Page Up, Page Down, Home and End keys.

Those are all useful but there is another that is worth a second look. Try using Ctrl + Shift+8. (the asterisk key). br>
This hi-lights the entire range of cells containing data that are around your cursor stopping only when it finds an empty cell in any direction.

You can instantly highlight entire columns of continuous data, including the column title, without including the empty cells at the bottom, with just one key combination.

If you only want one column or fewer cells than have been hi-lighted use your page up, page down or up, down, left or right arrows while holding down your shift key to deselect the cells that you don't to select.

Bring information together

When we choose to store text data in MS Excel it's very common that we will create a column for each piece… such as First Name, Last Name, Middle Initial…etc.

Unfortunately, there's also times when we look back upon our choice to keep the information separate and regret it. In this form the data just isn't as useful as we thought it would when we first set it all up.

There is a simple formula to bring the data held in several cells into one cell

The basic setup of the formula looks like this:

=cell address&" "&cell address&" "&cell address

The spaces between the quotations will be placed between the cell contents and as you can create a formula that combines more than three cells… just keep going with the pattern to combine them to your heart's content.

Here's an example:

In the first column I have 4 words that I would like combined into a single sentence.

As you can see I have a formula designed to combine them (which I duplicated below to show you the result).

AAnd that's all there is to it. A few &'s, quotes and cell addresses and you've got yourself data combined without a lot of invested time.

Faster data entry

I don't know about you but I often find that when entering data into an Excel worksheet I'm frequently entering data at a rapid rate only to stop at the end of the column or row to move to the next.

For example, let's say that I have information about customers such as name, address and phone number set up in columns A, B and C. I might then want to enter the actual data into rows 2 through 15.

After the first row of data I have to stop to go back to column A on the next row.

Enter data, stop, next row, enter data, stop… I really don't want to be bothered with all the starts and stops. Just let me enter the data efficiently without all the delays!

There is a way around it.

The whole key is to select all the cells for data entry before starting.

To explain let's return to the above example…

Before I begin entering customer information I would select a rectangular set of cells containing columns A through C and rows 2 through 15. (Start the selection with cell A2 in order to begin your data entry there.)

Now, with all the cells still selected, begin entering the data.

You can use either the Enter key or the Tab key to move from one cell in the selection to the next. (Arrow keys remove the selection of the range so don't touch those!)

The cool part is that when the cell selection reaches the edge of the selected area it will automatically return to the top of the next column or the first cell of the next row (based on the direction you are moving).

I enter a name, Tab, address, Tab, phone number, Tab and I'm at the start of the next row ready for the next customer name without the need to navigate to it.

One thing to watch - when you get to the last cell of the selected area the cell selection will cycle back around to the top again. That's a fact to keep in mind. You don't want to be on a "roll" forget where you are and cycle back to the top and then accidentally overwrite data.

The Gausthof zum Lowen restaurant

A group of 40 year-old buddies decide that they would meet for dinner once every 10 years to catch up. A conference phone call would be made the week before to decide where they should meet for dinner.

They sat down to plan their first meeting and after much discussion they agree that they should meet at the Gausthof zum Lowen restaurant because the waitresses there have low cut blouses and short skirts.

10 years later, at 50 years of age, the group again discuss where they should meet. Finally it is agreed that they should meet at the Gausthof zum Lowen because the food is great and the wine selection is excellent.

10 years later at 60 years of age, the group again discuss where they should meet. Finally it is agreed that they should meet at the Gausthof zum Lowen because they can eat there in peace and quiet, they don't allow kids and the restaurant is smoke free.

10 years later, at 70 years of age, the group again discuss where they should meet. Finally it is agreed that they should meet at the Gausthof zum Lowen because the restaurant is wheel chair accessible and they even have an elevator.

10 years later, at 80 years of age, the group again discuss where they should meet.  Finally it is agreed that they should meet at the Gausthof zum Lowen because they want to try something different and they have never been there before.

Shouting, cursing, crying, the mother says 'who was the pig that did this to you? I want to know!'

The girl picks up the phone and makes a call.

Half an hour later a late model Mercedes stops in front of their house. A mature and distinguished man with grey hair, impeccably dressed in an Armani suit steps out of the Mercedes and enters the house.

He sits in the living room with the father, mother and the girl, and tells them:

Good morning, your daughter has informed me of the situation. I can't marry her because of my personal family situation but I'll take responsibility for my actions.

I will pay all costs and provide for your daughter for the rest of her life.

Additionally, if a girl is born I will bequeath her 2 retail stores, a townhouse, a beachfront villa and a $2,000,000 bank account.

If a boy is born, my legacy will be a couple of factories and a $4,000,000 bank account.

Story be darned

A rough n tumble bloke from the Aussie bush walked into a funky Sydney curio/antique shop. After looking around for a fair while, he noticed a very life-like bronze statue of a rat. It had no price tag, but it was so striking that he decided that he just had to buy it anyway.

He took it to the owner of the shop and said: 'How much is this bronze rat?'

The owner replied: 'It's $12 for the rat, and $100 for the story.'

The fellow gave the owner his $12 and said: 'I'll just take the rat thanks mate, you can keep the story!'

As he casually walked off down the street, he noticed that a few real rats had crawled out of the drains and begun following him. This was a little disconcerting, so he started to walk a little faster, but within a couple of blocks the swarm of rats had grown to hundreds, and they were all squealing and screeching in a very menacing way.

He increased his speed and ran on towards Sydney Harbour and as he ran, he looked behind him and saw the rats now numbered in their MILLIONS, and they were running faster and faster.

By now very concerned, he ran down to the closest pier and threw the bronze rat as far out into the water as he could. Amazingly, the millions of real rats jumped into the water after it ... and were all drowned.

The man who was a bit stirred up by all the action walked back to relate all this to the shop owner, who said, 'Ah, I see you've come back for the story then?'

'Story be darned' [actually he said worse but we can't print it here] said the bloke, 'I came back to see if you've got a bronze Collingwood footy player, a couple of bronze politicians and a bronze Indian spin bowler.

Note that no offense is intended to Collingwood supporters, or Indian fast bowlers. We really aren't fussed about the politicians. For those who want to tell this story in the pub feel free to substitute and add to our list as you see fit.
