Adobe Acrobat Reader and PDF Documents

We faced an interesting quandary this month when it came to sending out the end of year support documents by e-mail to everyone. We wanted to send the docs out in PDF [portable document format] but we didn't know how many people had it installed on their computers or knew how to use it. So we had to send a copy of the documents in MSWord format as well so that we covered all the bases. 

So we'd like to know how many of you use Acrobat Reader and can read PDF documents for future reference. Please help us by completing the survey. In this case it will help us to help you by not having to send attachments that are irrelevant to you. 

By the way if you don't have Acrobat Reader installed we do recommend that you download it from the Adobe web site. It's free and it has become an industry standard. 

You'll need Adobe Acrobat reader to read a PDF document.  If you don't have Acrobat installed on your computer you can download it by clicking the Adobe logo below.

 

Make sure that you uncheck any links to download Google tool bar or any other software that Adobe's pushing [unless you really want them]

How many times have you sat down to write a business letter and stared at a blank page wondering just how to start and what to say. 

At the top right hand side of your am-win screen you will find a small black menu and the first item on the menu is "Templates". If you click the templates link you will be "teleported" to a wonderful Microsoft [that's an oxymoron] web site where you'll find a huge range of document templates for all sorts of purposes. It's a good place to start when you need to write a professionally presented business letter.

Why not to Delete Ledgers

If you delete an account which was used in a previous financial year, but has a current zero balance which would be the case for income and expense accounts which have not been used in the current year then when printing or viewing reports for the previous years the reports will NOT balance because these ledger accounts no longer exist. 

As a result it is recommended that you do not delete any ledger accounts but mark them as being suspended. Do this by changing the name of the ledger to unused and change your general ledger masks so that they do not come up in any screens when selecting the Revenue, journal and expense etc buttons. [For general ledger masks see next article relating to bad debts

How to write off a bad debt - includes general ledger masks.

It is important to write off your bad debts at the end of a financial year because if you don't you will be paying tax on the profit made on the sale even though you didn't receive the money.  Not only that but it shows as money that is owed or an asset to the business when in reality there is no hope of realising that asset.

AM-Win allows you to credit the amount of a bad debt to a bad debt account while still retaining the integrity of the parts, labour and revenue that went into making up the original invoice. It also handles the GST automatically in the process with no other adjustments to be made after the credit is processed.

Ensure that you have a ledger named "Bad debts written off" in the expenses section of your general ledger - this will be a 9000 series account and can be added through the General Ledger Master Files. . If you do not a bad debts ledger set up yet, you will need to add this ledger through the general ledger master file. However as you do not normally have access to the expense ledgers in customer invoicing or credit notes, you will need to create access to this ledger so that you are able to access it in invoicing. 

To set up this access open the tools menu and select general ledger masks.


Click the fourth option on the left hand side of this window which is labelled Revenue


On the right hand side of the general ledger mask column you will see a from and to column. [see above image]

Type in your new general ledger account number for bad debts [lets call it 9021] in both the left and right hand columns in the first boxes that are showing a zero [see below]

Your entries will now look like the screen clip below.

Once you have the bad debts ledger account set up you can continue on to process the bad debt through credit returns.
Go to the Customer Credit Returns option under the Customer menu. Begin a new credit return and select the customer who has the bad debt. 

Select Revenue and select your bad debt account, enter in the total amount to be credited, ensuring that the total of the document is inclusive of GST. Now process the document. 

AM-Win will display an allocation screen showing a list of all outstanding invoices for the selected customer. Allocate the credited amount to the outstanding invoice by double clicking on the invoice

You will find on checking the balances of the debtor's account, the GST account and the bad debts account that all sides of the transactions have been processed.

E-Mail - Use the "Four D's for Decision Making" Model

The "Four D's for Decision Making" model (4 D's) is a valuable tool for processing e-mail, helping you to quickly decide what action to take with each item and how to remove it from the Inbox.

Decide what to do with each and every message

How many times have you opened, reviewed, and closed the same e-mail message over and over? Some of those messages are getting lots of attention but very little action. It is better to handle each e-mail message only once before taking action—which means you have to make a decision as to what to do with it and where to put it. Under the 4 D's model, you have four choices:

1.

Delete it

2.

Do it

3.

Delegate it

4.

Defer it

DELETE IT

Generally you can delete about half of all the e-mail you get. But some of you shudder when you hear "delete." You're hesitant to delete messages for fear you might need them at some point. That's understandable, but ask yourself honestly: What percentage of information that you keep do you actually use?

If you do use a large percentage of what you keep, then what you're doing is working. But many of you are keeping a lot more than you use. Here are some questions to ask yourself to help you decide what to delete:

1.

Does the message relate to a meaningful objective you're currently working on? If not, you can probably delete it. Why hang on to information that doesn't relate to your main focus?

2.

Does the message contain information you can find elsewhere? If so, delete it.

3.

Does the message contain information that you will refer to within the next six months? If not, delete it.

4.

Does the message contain information that you're required to keep? If not, delete it.

DO IT (in less than two minutes)

If you can't DELETE IT, then decide, "What specific action do I need to take?" and "Can I DO IT in less than two minutes?" If you can, just DO IT.

There is no point in filing an e-mail or closing an e-mail if you can complete it in less than 2 minutes. Try it out—see how much mail you can process in less than 2 minutes. I think you will be extremely surprised and happy with the results. You could file the message, you could respond to the message, or you could make a phone call. You can probably handle about one third of your e-mail messages in less than two minutes.

DELEGATE IT

If you can't DELETE IT or DO IT in two minutes or less, can you DELEGATE IT?

If you can delegate it, do it right away. You should be able to compose and send the delegating message in about two minutes. Once you delegate the action, delete the original message or move it into your e-mail reference system.

DEFER IT

If you cannot DELETE IT, DO IT in less than two minutes, or DELEGATE IT, then the action required is something that only you can accomplish and that will take more than two minutes. Because this is your dedicated e-mail processing time, you need to DEFER IT and deal with it after you are done processing your e-mail. You’ll probably find that about 10 percent of your e-mail messages have to be deferred.

There are two things you can do to defer a message: turn it into an actionable task or turn it into an appointment. When you're using Outlook 2003, you can DEFER e-mails with actions by turning the e-mail into a task on your Task List. Name the task to clearly state what action is required so that you don't have to reopen the e-mail message. The result is a clearly defined list of actions in your task list that you can prioritise and schedule to complete on your Calendar. Learn how to:

Do it daily

Using the 4 D's model on a daily basis makes it easier to handle a large quantity of e-mail. Our experience shows that on average, people can process about 100 e-mail messages an hour. If you receive 40 to 100 messages per day, all you need is one hour of uninterrupted e-mail processing time to get through your Inbox. Our statistics show that of the e-mail you receive:

50 percent can be deleted or filed

30 percent can be delegated or completed in less than 2 minutes

20 percent can be deferred to your Task List or Calendar to complete later

Of course, if you have a backlog of hundreds of messages, it will take time to get to the point where your daily routine keeps you up to date. It's important to get that backlog down, so I would suggest setting chunks of time aside to work through it. Then you can really enjoy processing your messages every day using the 4 D's.

Windows Tips

Keep your e-mail in one place

So you've bought a new you beaut state of the art laptop that you can use at home, and at work or even out on the boat and you can download and read your e-mail from anywhere. But there's a catch. If you download your e-mail onto the laptop, unless you know the secret then that mail won't be on your computer at work because you've already downloaded it from your mail server. You'll finish up with e-mails at work and e-mails on your laptop which will be frustrating when you're looking for that special e-mail .

So what's the secret.

Leave your messages on the server. Outlook and Outlook Express have the ability to select this option. Set your laptop to leave all of your messages on the server and they will still be there for you to download on your main computer in the office.

Here's How

Important Note: Do this on your laptop only. If you do it on your main computer the mail will build up on your mail server and you will exceed your mail quota and be unable to receive mail.

For Outlook Express 4, 5 and 6 

  • Open Outlook Express 
  • Click Tools in the file menu and select Accounts 
  • Click the Mail Tab and click once on the appropriate Email Account in the account window to highlight it, then click the Properties button 
  • In the Account Properties, click the Advanced Tab
  • Check "Leave a copy of messages on server" 
  • Click OK and OK. Click the Close button on the Accounts window 

Outlook 2000 

  • Open Outlook 2000 
  • Click Tools in the file menu and select Accounts 
  • Click the Mail Tab and click once on the Expedient Email Account in the account window to highlight it, then click the Properties button. 
  • In the Account Properties, click the Advanced Tab 
  • Check "Leave a copy of messages on server" 
  • Click OK and OK. Click the Close button on the Accounts window 

There are many versions of Outlook and Outlook Express and there are many different mail programs. If you use different versions of outlook Express or MS Outlook than those shown above the  layouts and field positions may be different from our references.

Don't Ignore the Windows Logo Key
The Windows logo key, located in the bottom row of most computer keyboards is a little-used treasure. Don't ignore it. It is the shortcut anchor for the following commands:

Windows: Display the Start menu
Windows + D: Minimize or restore all windows
Windows + E: Display Windows Explorer
Windows + F: Display Search for files
Windows + Ctrl + F: Display Search for computer
Windows + F1: Display Help and Support Centre
Windows + R: Display Run dialog box
Windows + break: Display System Properties dialog box
Windows + shift + M: Undo minimize all windows
Windows + tab: move through taskbar buttons
Windows + L: Lock the workstation (or switch to the Logon screen w/Fast User Switching enabled)
Windows + U: Open Utility Manager

Itchy bits

A vertically challenged young lady goes to a doctor complaining of an embarrassing itch in the groin area.

The doctor looks her up and down, picks her up and stands her on his desk.

He lifts up her skirt and puts his head under. A little perplexed, she hears snip, snip, snip, snip.

The doctor emerges from under her skirt.

"How's that?"

"Well, it's a lot better actually, but it's still there."

Undaunted, he dives back under her skirt. Snip, snip, snip, snip. Out he comes.

"How's that?" he asks again more confident.

"That's wonderful! What did you do?"

"I trimmed the top of your Ugg boots."

OK, follow me

A vampire bat came flapping in from the night, face all covered in fresh blood and parked himself on the roof of the cave to get some sleep. Pretty soon all the other bats smelt the blood & began hassling him about where he got it. 

He told them to buggar off and let him get some sleep, but they persisted until he finally gave in. 

'OK, follow me', he said & flew out of the cave with hundreds of excited bats behind him. Down through a valley they went across a river & into a huge forest. Finally he slowed down & all other bats excitedly milled around him, tongues hanging out for blood. 

'Do you see that large oak tree over there?' he asked. 

YES, YES, YES!!!' the bats all screamed in a frenzy. 'Good for you!' said the first bat, 'Because I f*#$$ing well didn't.'

You need a piece of tail

A husband in his back yard is trying to fly a kite.

He throws the kite up in the air, the wind catches it for a few seconds, then it comes crashing back down to earth.

He tries this a few more times with no success.

All the while, his wife is watching from the kitchen window, muttering to herself how men need to be told how to do everything.

She opens the window and yells to her husband, "You need a piece of tail."

The man turns with a confused look on his face and says, "Make up your mind. Last night, you told me to go fly a kite."

Oh no!" he says

A bloke is in the Super Market queue when he notices a rather dishy blonde across from him raise her hand and smile hello.

He is rather taken aback that such a looker would be waving to him, and although familiar he can't place where he might know her from, so he 
says "Sorry, do you know me?"

She replies "I maybe mistaken, but I thought you might be the father of one of my children!"

His mind shoots back to the one and only time he has been unfaithful.

"Oh no!" he says "you're that stripper on my stag night that I shagged on the pool table in front of all my mates whilst your mate whipped me with some wet celery?"

"No" she replies, "I'm your son's English Teacher"

Bugga

Two guys are drinking in a bar. 

One says, "Did you know that lions have sex 10 to 15 times a night?" 

"Bugga!" says his friend. "I just joined Rotary."
