How to do a Supplier Payment using the Bank EFT Option

Note - this AM-Win tip relates to version 7.6 and later. If you are not using the latest version of AM-Win you are missing out on some great new features. Please contact your supporting consultant to arrange an upgrade to the latest version of AM-Win

The Supplier Payment Bank EFT file is a standard CSV file used by most Australian banks whereby bank transactions can be imported from this file and processed automatically,  rather than manually processing each bank transfer. When you pay your suppliers by EFT (electronic funds transfer) you can import this file and have the bank process the payments.

Firstly, you need to set up an EFT Transfer ledger. This ledger can be anywhere in the range of 1011 –1029 and is used to record all EFT entries. Lets say you use the account 1019 as your EFT ledger. Call this ledger “EFT Payments” and enter it into the system through the General Ledger Master Files.

General Ledger master Files

In order for this to work correctly you need to set up another two other pieces of the puzzle.

First, you must open the General Ledger Master Files and select your bank account from which the payments to your suppliers will be taken. [Do not use the 1019 account that you have just set up in the master files].

Check that the BSB and Account details for the bank account are correct.

Now create an EFT code. E.G. your bank account name

You will also need to set up your User ID in this section so it can be attached to the EFT file. This User ID is your EFT membership number the bank supplies to you.

Bank rec header file

You can also set up your bank details from the Bank Rec Module, through the Bank/Maintenance menu option as shown in the image below

Bank rec maintenance

Next, you'll need to set up the Suppliers Bank Account Details such as the BSB and Account number through the Supplier Master file/Bank Details tab.

Supplier master files - bank account maintenance

Just click on the Insert button to add an account to a supplier record and the account details file screen will appear.

Fill in the rest of the details such as the account details and name. Choose your method [either bank or cash payments].

Now select the relevant bank general ledger account (eg 1020) and enter in the bank name. Choose your EFT code This will be the EFT ledger that you have set up previously, [e.g. the 1019 ledger.]

Click on the OK button to save these details in your supplier master file

Supplier master files - bank details

The system will automatically use the first account listed in this supplier master file bank detail area, so it is best to only have only one account listed to avoid any confusion when making your payments.

You are now ready to create the EFT file using the EFT Payments option.

After making your supplier payments in the usual manner using the Supplier Open Item or Batch Payment Process (using the 1019 - EFT Payments method), a list of these payments , will then be held in the 1019 General ledger after processing.

To use the Supplier Payments EFT option, choose the Suppliers/Payments/EFT Payments menu option. The EFT screen will appear giving you the option to select your EFT account.

Suppliers payment EFT option screen

Select the EFT account you wish to use (eg 1019) and the un-posted EFT records will be displayed on the screen. You can then select the date for the payment process and the location for the EFT output file (which usually defaults to the data 1 export folder with the filename of EFTAscii.txt).

NOTE:

This file is over-ridden each time a new file is created for safety reasons so that the same file is not sent twice for payment.

At this stage you should then select the bank account that the payments will be taken from. You can then select all or tag some of the records to be processed by double clicking on the required payment. The tagged items will have a tick beside them.

NOTE:

All the payments that are selected are placed into the same output file for processing. If you are processing from two different bank accounts then you must process and use the separate output file for each bank account. REMEMBER - the file is deleted the next time a new one is created so you must use the file in a bank transfer before making the next file!

Then click the Process button to create the output file. You can then use your internet bank software or internet access to import the file from your output location and transfer the funds to the appropriate accounts.

Disclaimer

AM-Win takes no responsibility for the validity of the data and especially the supplier bank details and your own bank details, which you as the user, enter into the system yourself. Please ensure that all details are correct at the data entry point and that you check the EFT file for accuracy before processing the bank transfers.

You can also print a copy of the transfer transactions (which is done by default anyway), which shows all of the data to be transferred.

If you have manually created a journal payment or mistakenly entered an entry as an EFT payment, you can tag the record and use the Mark as Posted button to post the entry without actually updating your ledger figures or creating an EFT file.

Bank Reconciliation

Note - this AM-Win tip relates to version 7.5 and later. If you are not using the latest version of AM-Win you are missing out on some great new features. Please contact your supporting consultant to arrange an upgrade to the latest version of AM-Win

Back by popular request this document shows how to reconcile your bank accounts using AM-Win's powerful bank rec module. Probably worth a browse for the old hands as well to pick up tips that haven't been published previously

How to do a Bank Reconciliation

Bank Reconciliation can be accessed by the Bank Rec Icon in your AM-Win folder or from the Start / Programs / AMWIN folder. It is used to reconcile your bank statement against your banking records held in any of the 10 available bank accounts in the 1020 - 1029 General Ledger range. This allows un-presented cheques and deposits to be reconciled to your bank statements. You can also use this to reconcile credit cards and barter card accounts.

Double click on the Bank Rec Icon to open the AM-Win Bank Reconciliation program. Under the BANK menu option you then have the option to select Maintenance, set up your new bank accounts or, to select Bank Reconciliation, to reconcile your bank accounts.

Getting Started

Before you begin to use the bank reconciliation program you must be aware of certain aspects of how it links to the AM-Win accounting software and what is required to get started.

The first thing you must do is set up your bank account ledgers in AM-Win.

The first and second bank accounts (1020 and 1021) are automatically included when you first start AM-Win.

You should use the General Ledger Master files option in AM-Win to change the name of these accounts to refer to your actual bank account name.

You can also use the Ledger Master files to add new bank accounts (up to 10 accounts between 1020 - 1029). You can also use these accounts for credit cards such as MasterCard, Visa, Amex etc or for GST and PAYG holding accounts etc.

Some users also set up a petty cash account in the bank account area so that the Bankrec can be used to reconcile the petty cash entries.

Once the ledgers have been set up, you must setup the bank accounts in the Bankrec under the Bank Maintenance section. This allows the Bankrec to recognise these accounts. The deposits option in AM-Win also uses the bank account settings to print on the bank deposit slip.

All entries that effect the bank’s account ledgers in AM-Win including payments, journals, cheque entry etc will also be updated in the Bankrec window. This will happen automatically. If an entry has been entered into the bank account ledger and it does not appear in your Bankrec then you may have a data corruption issue and you should contact your AM-Win authorised agent for assistance.

Note: If you have been using AM-Win for some time and wish to now start using the Bankrec module, you will have a large amount of entries marked as un-presented that have long since been presented

Do a manual bank reconciliation and then tag and post all of the entries in the Bankrec screen except the actual un-presented entries. (This may take some time depending on how long you have been using AM-Win.)

Bank Maintenance

Under the Bank menu option you can choose Bank Maintenance by Left mouse clicking on that option.

Bank account maintenance

This section allows you to enter the Account number, ledger number, Bank description and BSB number for each of your accounts that you wish to reconcile.

Note: The bank accounts ledger range is limited to 1020 – 1029, which provides 10 bank accounts. The Software will assume these are bank accounts so if you have set them up for a different reason then they should be changed.

To Insert / Change / Delete an Account

To Insert

To add a Bank account to the Bank Reconciliation file, click on the Insert button. You are then required to enter the following information

Account No. - Is the account number for the required bank account.

Ledger - Is the Ledger account between 1020 and 1029 that is allocated to this bank account. These accounts must exist in the software to be used. If the ledger account has an X against the account then it has already been allocated and cannot be used more than once.

Description - Enter the name of the bank Account.

BSB Number - Enter the BSB identification number on the bank account.

Start Date - You must select a “Start Period” for the bank Reconciliation to start from. This start period reflects the first day of the month that is selected and is used by the system to pickup the opening bank balance from the nominated period for reconciliation.

Once you have entered in the required information, Click the OK Button to add the new record.

To Change

To change the bank account details left mouse click on the Change button. Enter the new details and then click the OK Button.

To Delete

To delete a bank account, click on the Delete button. This will NOT delete the ledger account, only the bank account for reconciliation purposes.

Reconciling the Bank Account

Open your Bank Reconciliation screen. To do this, enter the Bank Reconciliation Module, click on the Bank/Bank Maintenance to bring up the Bank Reconciliation screen.

Bank reconciliation screen

Once you have this screen up, click on the Bank A/c dropdown menu to select the bank account you wish to reconcile at the top left of the screen. Once the bank account is selected, the un-reconciled records appear on the left of the screen and the reconciled records (Presented Items) between the From and Until dates appear on the right hand side of the screen.

To start a new bank rec process, you can enter the From Date and Until Date at the top left of the screen. This will be from the first day of the bank statement or internet record until the last date on the statement. The system defaults to yesterday's date for those who reconcile daily from the internet but this can be changed back to any date after the Start Period.

You then need to select the Presented Date, which signifies the presented date that an entry will appear on the bank statement and so will be presented on the same date. You will need to change this date every time the presented date on your bank statement changes. For example you may have several entries presented on the 1st of the month. Leave the presented date on the 1st, and then change it to the 2nd prior to presenting the records dated the 2nd on the statement.

Once the appropriate dates have been set, you can then begin reconciling the bank account. The debit (cheques) shown in Red and credits (deposits) shown in Blue are totaled below each column. Under that is the un-reconciled total which is the Credits less the Debits, which are currently un-reconciled if they appear on the left hand side.

The Opening balance on the top right of the reconciled list (the right side of the screen) is based on the opening balance of the general ledger account as at the start period, adjusted to allow for transactions that have been reconciled up until the From date, which has been selected. If you change the From date, this balance will be changed and the reconciled list will only show records that fall between the From and Until dates in the reconciled list.

Now that you understand how the system works (or you will soon anyway) you can start reconciling the bank accounts.

To Present a record

To present the record you can either use the mouse to drag and drop the record onto the right hand side of the screen or you can highlight the record and press the Enter key to present it. Once the record is presented, the record moves to the right side of the screen in the reconciled list.

The record should appear in the same order as on your bank statement and the running balance should match the statement balance. The reconciliation process is live and immediate without needing to tag and process a batch of records.

If you make a mistake you can un-present the record by selecting it in the reconciled list and either dragging in back to the un-reconciled list or pressing the enter key to un-present it. If you find that the order of the records in the reconciled list does not match the statement then you can use the Ctrl-up and Ctrl-down keys to move the record up and down in the list.

However, you cannot move the record outside the date range the record was presented at. For example, if a record was presented on the 2nd of the month you cannot move it before a record on the 1st or after a record on the 3rd. To change the presented date you must first un-present the record, change the presented date at the top of the screen and then present the record again.

Auto Reconcile Button

The Auto Reconcile button allows you to automatically reconcile your account using a file downloaded from your CBA Netbank or other similar online banking service. Download the file from your Bank’s website and save it to your computer. You then click on the Auto Reconcile button and find the required file. Once the file is found, you can then select it and the Bankrec program will automatically reconcile your account based on the downloaded file. Any records that the system cannot locate will be reported on as well as any errors that are found so that you can manually reconcile or adjust the Bankrec as required.

Unrec Trans Button

The Un-reconciled Transaction button will display the transactions associated with the un-reconciled bank record. This includes the source, ledger codes, description, reference/chq no, amount and the Customer/Supplier code as well as the date of the transaction and the transaction number.

Report Button

The Report button provides an option to print two different reports. When the Report Button is pressed you then get the option to print either an un-reconciled or a reconciled report.

The un-reconciled report prints a list of un-reconciled records and totals the debit and credit columns. The reconciled report prints the reconciled entries within a selected date range.

Rec Trans Button

The Reconciled Transaction button will display the transactions associated with the reconciled bank record. This includes the source, ledger codes, description, reference/chq no., amount and the customer/supplier code as well as the date of the transaction and the transaction number.

History Button

The History button shows all reconciled records either in Presented date, transaction date and Reference or Amount order. The Bank Date Tab allows you to view the balance of the account after each transaction.

You can view the Transaction date entries within a date range, Search for a cheque number or reference in the Tran ref tab and also search for a dollar amount in the Amount tab.

You must put a Negative/Minus sign (-) in front of the amount to find a debit entry.

Insert Button

The Insert button calls a cheque entry screen and allows you to process an entry on the fly for items such as bank charges. These entries are automatically made presented on the date used in the entry. A negative cheque entry can be done for credit entries

Bank Date - The bank date defaults to the Presented date and cannot be changed.

Tran Date - Is the date of the transaction as opposed to the bank rec processing date.

Type in the Reference code in the corresponding fields.

In the Amount section, type in the amount of the transactions to be inserted. If you want the entry to be a Credit, enter the amount as a Minus value.

You can then enter the Description of the transaction.

GST Type – Click on the dropdown menu next to the GST Type field and choose from GST, No GST, Acquisition, and N/A.

GST - Any item that you purchase which will be resold to a customer. These include parts you resell, labour you charge out on an invoice, and any other item that will be invoiced or sold to a customer. This also includes overheads that the business requires in order to trade.

NO GST - This means that no GST is payable on this purchase. These include: fresh food such as tea, coffee, bread and milk, first aid kits and medical supplies, wages and superannuation, and other GST free purchases.

Acquisition - These are purchases of a capital item or an asset such as a computer, tune up, machine hoist etc. All acquisitions should be purchased into an asset account between 1050 and 1999. Acquisitions and GST items can both be claimed with an input tax, but are separated because the GST legislation states they are to be shown separately on the Business Activity Statement.

N/A - Any items that should not appear on the BAS report should be classed as GST type ‘N/A’ or Type ‘4’ for Non Applicable. This means that the item does not attract GST and will not be calculated on the BAS report. These items include Superannuation, interest, wages (although wages are included in W1 and W2) and so on.

The Drawer is where you enter the drawer name against the cheque. [the person or business that wrote the cheque]

Ledger: left click the button next to the Ledger field. A Select Expenses Ledger window will appear from which you can select the Ledger account you want. Click on the OK button to insert the entry.

Change Button.

The Change button allows you to change the Presented date, Reference, Description, Drawer and page/reference details. You are not able to change the transaction date or value of a record here.

Business Tips

Free kicks that will increase your chances of great search engine results for your web site.

By Dennis Doull, AM-Win Webmaster and newsletter editor.

Many businesses are opting to have a web site developed to present their products and services to as wide an audience as possible.

However having a beautifully designed and presented web site does not automatically guarantee an immediate increase of customers begging for your offerings.

The secret is to provide a way that your potential clients can find your web site amongst the billions of pages on the internet when they are searching for information when they are considering a project or a purchase.

And of course that secret is the search engines, who,  when your potential client types in certain keywords i.e. words that describe your business, display a list of results to the searcher that matches those keywords as closely as possible.

However if you are in the same business as many others, e.g. a used car sales business, a workshop, a spare parts house or a marine dealer there may be hundreds of competing businesses who because they are in the same industry as you use the same keywords as you do.

This means that all of your competitor's information will be displayed to your prospect as well as yours. Even worse, the number of results displayed at once on a page [on one screen] in most search engine search results is set to 10 by default.  This means that your listing may turn up many pages deep into the search engine results.  It is a well know fact that most searchers will not look past page three of the search results,  therefore if your listing is displayed after page three there is a good chance that few searchers will ever see it.

There are several ways that you can increase your rankings in the search engines, including Google Ad words, and SEO [search engine optimisation] services. Some SEO's provide a guarantee that your site will be listed in the first one or two pages of Google's search results within six months but they are not shy when it comes to charging for the service.  Google Ad words also work but could cost you thousands as you pay for everyone that clicks on your ad in Google's sidebar regardless of the value of the "clicker" to you as a client.

So how do you achieve high rankings - i.e. page one in the search engine results without spending your hard earned money.

By taking advantage of the free kicks provided by listing sites on the web, by promotion in Government and Trade association web sites, by requesting that your supplier's link to you and by utilising the use of reciprocal links from associates who own web sites and who are in the same industry as you but not competitors.

Let's talk about Google, arguably the most widely used search engine in the world. Google sets the rules and because they are powerful and widely used it's logical that we adhere to their rules to achieve our goals.

While there are many guidelines provided by Google at http://www.google.com/support/webmasters/bin/answer.py?answer=35769 one of the most important is published at http://www.google.com/support/webmasters/bin/answer.py?answer=34432&hl=en which states:

Sites' positions in our search results are determined based on a number of factors designed to provide end-users with helpful, accurate search results. These factors are explained in more detail at http://www.google.com/corporate/tech.html.  In general, webmasters can improve the rank of their sites by increasing the number of high-quality sites that link to their pages.

While there are several other factors that can improve positioning and ranking in search results the general opinion is that the above is one of the most important and the most likely to provide results.

Given that Google states that webmasters can improve the rank of their sites by increasing the number of high-quality sites that link to their pages web site owners should find ways of achieving link backs from high quality, high traffic sites.

Let's look at a statement I made in an earlier paragraph that says: "So how do you achieve high rankings - By taking advantage of the free kicks provided by listing sites on the web, by promotion in Government and Trade association web sites, by requesting that your suppliers link to you and by utilising the use of reciprocal links from associates who own web sites and who are in the same industry as you but not competitors."

You will agree that the above statement is consistent with Google's recommendations. So how do we implement the actions necessary to get the links we need.

To do this we will break the statement down into a list of targets in order of importance,  i.e. the number of page views your target is likely to receive, the search engine ranking of your target, the amount of money that your target is likely to spend on search engine optimisation, and only then the relevance of the target to your industry. Note that at this stage we care little about whether the target site is relevant to our industry - if it meets the first of our criteria then we want to be a part of it.

Government sites

Yes the Government is here to help you. In many states and territories the government has a site that promotes not only the great things about their state but provides the ability for business owners to list their business, write a few words about the business, categorise the business for search purposes, provide their contact information and provide a link to their website - all for free.  The Government spends a great deal of money promoting their sites on the web and you will often find that once your site is listed on a Government site their listing with your details will appear before any other listings from elsewhere.

Example web sites

SA Central - South Australian business listing - add your link at http://www.sacentral.sa.gov.au/site/page.cfm?u=43&displayMode=showCheckLinkForm

Tasmania on line - submission form http://www.tas.gov.au/tasmaniaonline/

Local Council

Following close on the heels of state government comes local government and councils. Look for their websites and see if you can place a link to you under local business on their web sites. Most council sites have links to other government sites [which increase their ratings] so if you can get your site linked on a council site you will also be linked to the other sites by default .

Free Business Listings

They're every where. Current search results on Google for "free business listings" return ten million four hundred thousand results. Be aware that although some advertise "free" listings they are not free so be selective when you choose.

Of course it's not worth considering a business listing if it's listed on page four of the search results - or is it. Maybe if you changed the search terms to "free business listings in Sydney"  [9,340000 results] you may turn up some great alternative listing sites that are your potential target market's area. One listing service I would recommend is www.hotfrog.com.au. I have used it successfully on many occasions and you are able get yourself a comprehensive listing on their site.

Be cautious and selective - check out their terms and conditions and leave the less professional looking services alone - if they don't present well they are not worth looking at.

Your Supplier Sites

This is really only relevant to those who distribute a major product range and who's supplier is a major organisation or Group who lists it's dealers and distributors on their sites. Check it out and if you're a Distributor or Dealer for a major company or organisation request a link in their dealer listings.

There are however some situations where if you sell someone's product you could suggest a reciprocal link if your supplier has a website. Let's look at the Marine Industry for example. Many marine dealers sell a wonderful product called "boat latch" that makes the job of launching and retrieving a boat very simple and trouble free. Boat latch have a great website with a huge amount of visitors. [www.boatlatch.com] It would be great if you could get a link as a dealer on their website in return for a link to them. So by placing their logo or marketing material on your site [which might just sell you a few more latches] with a link back to them they will include you in their dealer list. look around your store and see if there are products that you may be able to promote better on your website and where your supplier will provide a reciprocal link back in return.

Trade Associations

If you pay your dues to your Trade Association and they have links to their members on their web site then you should be part of it. Check out association sites - Motor Trade Association and approved auto repairers [RAA in South Australia] etc. Once again you have to be in it to win it.

Reciprocal Links

Reciprocal links is a hard but pleasant way to go. A reciprocal link is a situation where you offer a link on an associate's website in return for a link back to your site. This works when you know someone who's client's might share the same sort of interests as your clients but who are not in competition with you. A great example of this is http://www.bhghotels.com.au/links.asp In this case Management of the hotel group have provided links and a story about each of their associates, none of whom are in competition. In return each of the sites listed has a link back to www.bhghotels.com.au

Summary

Every one is busy and this all sounds like a great deal of work. Search Engine Optimisation is hard work and is an ongoing job as you can slip in the search engine rankings overnight. But it can be a rewrding job as you see your site rise from a page deep in the listings to the front page.

However consider the time, effort and money that you put into getting your web site up to show to the world. You can o nothing and leave it to languish at the lower end of the search results or you can start doing the things necessary to place it on the first page of the search engine results with a high ranking. Only then will you start receiving enquiries from your web site. which leads to bodies through the door which leads to money in the till.

Further articles will be published over the next few months as there are other ways to increase your ranking in Google search and to monitor the results of your search engine optimisation efforts. If you own a web site please keep a look out for them. I will try to ensure that they are well worth reading.

Windows, Word and Excel Tips

Windows

Windows Logo

Create a personal screen saver using your photos

If you like using a screen saver and have digital photos on your computer, you can easily make your own screen saver using the pictures that you have stored on your PC. You can set up your screen saver in Microsoft Windows XP to display a slide show of some or all of your pictures when you’re not using your computer.

To set up a My Pictures slide show

Right-click on the desktop, and then click Properties.

Desktop shortcut menu with Properties selected

In the Display Properties dialog box, click the Screen Saver tab. Then, click the Screen saver list, and click My Pictures Slideshow

Screen Saver tab in Display Properties dialog box with My Pictures Slideshow selected

Click OK

Screen Saver tab in Display Properties dialog box with OK button selected

The next time your screen saver starts, you’ll see a slide show of all the pictures in your My Pictures folder.

MS Word

Fast editing using the control key.

Tired of pressing the Delete or Backspace key for every character you want to delete? Here's a way you can make your editing much faster, with just a simple change to your deleting key press. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

While editing documents, it is not uncommon to delete words, phrases, and the like.

Different people take different approaches to the task.

For instance, some people just select the text and press Delete, while others may simply hold down the Delete or Backspace keys until the unwanted characters disappear.

If you are in the latter group, and you spend a lot of time pressing Delete or Backspace, you may be interested in a handy shortcut provided by Word.

All you need to do is hold down the Ctrl key to speed up your deletions.

Using Ctrl+Delete deletes text from the insertion point to the end of the next word. For instance, if you wanted to delete four words to the right, simply press Ctrl+Delete four times. Likewise, Ctrl+Backspace deletes words to the left of the insertion point.

An interesting use of these shortcut keys is to speed up editing tasks, not just mass deletions.

For instance, let's say you wanted to change the word "sidestep" to "sideways." Normally you would find some way to simply delete "step" and type "ways." This could involve pressing Delete or Backspace four times to get rid of the unwanted portion of the word. You can make your edit faster if you just position the insertion point at the beginning of "step," press Ctrl+Delete once, and then type "ways."

Arrange Paragraphs Fast

Need to move a few paragraphs around in your document? Word provides a couple of handy shortcuts that make it very easy to move them in any direction you want. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

Sometimes you want to move a paragraph or two around in your document. For instance, you might want to move a paragraph from its current location to before the preceding paragraph. You can quickly move paragraphs by following these steps:

Cool AutoScroll command

One of Word's undocumented commands is the really cool AutoScroll command. This tip explains how to add it to your toolbar and then how to use it to navigate quickly through a document. (This tip works with Microsoft Word 97, Word 2000, Word 2002, and Word 2003.)

For some time now Microsoft and various other vendors have been offering mice with a special little wheel or lever between the two buttons.

The purpose of the wheel or lever is to scroll quickly through a long document. If you do not have such a mouse you can still get the benefits of automatic scrolling through an undocumented Word command. Simply follow these steps:

To use your new command, simply click on the new toolbar button. When you do, the vertical scroll bar at the right side of your screen changes. A new double arrow appears in it. As you move the arrow up and down along the scroll bar, you control how fast the document scrolls either up or down. To exit the scrolling mode, you can either press the Esc key or click the mouse button.

MS Excel

Managing Comments

If you frequently add comments to cells in a worksheet, Excel provides a variety of tools you can use to manage those comments. This tip provides an overview of the tools provided. (This tip works with Microsoft Excel 97, Excel 2000, Excel 2002, Excel 2003, and Excel 2007.)

Besides simply adding and viewing comments one at a time, Excel includes some tools that allow you to easily manage your comments. The tools available to you depend on the version of Excel you are using. If you are using a version of Excel prior to Excel 2007, you use the Reviewing toolbar. If you are using Excel 2007 then you use the Review tab of the ribbon. If you have quite a few comments in your worksheet, these tools can be a great help.

Displaying the Review tab of the ribbon is easy—just click on it. In older versions of Excel you can display the Reviewing toolbar by choosing Comments from the View menu or by choosing Toolbars from the View menu and then choose "Reviewing" from the list of available toolbars.

The buttons on the "Reviewing" toolbar or on the Review tab of the ribbon make it very easy to work with the comments. For instance, you can add a comment to a cell by clicking your mouse on the New Comment tool.

Perhaps the most helpful tools are the Previous Comment and Next Comment tools. These allow you to work strictly with comments and jump from one to the other. As you click your mouse on one of these tools, Excel highlights a comment. I believe she's knitting a scarf for her Mother

Thanks to Carolyn for another good yarn. Carolyn once again wins a link to her very professional web site - visit at www.seasideauto.com.au

A cop was patrolling late at night in a well-known lover's lane spot.

He sees a couple in a car, with the interior light brightly glowing.

The cop approaches the car to get a closer look.

He sees a young man sitting behind the wheel, reading a computer magazine and a young lady in the rear seat, knitting.

Puzzled by this surprising situation the cop walks to the car and gently raps on the driver's window.

The young man lowers his window.

Uh, yes, officer ?'

The cop says, 'What are you doing ?'

The young man says, 'Well, Officer, I'm reading a magazine."

Pointing towards the young woman in the back seat the cop says, 'And her, what is she doing ?'

The young man shrugs, " I believe she's knitting a scarf for her Mother.'

Now, the cop is totally confused. A young couple........ alone, in a car, at night in Lover's Lane..... and nothing obscene is happening!

The cop asks, 'How old are you?" The young man says , 'I'm 18.."  'And her ... how old is she?'

The young man looks at his watch and replies, 'She'll be 16 in 11 minutes.'

Kazanga

Visiting a village in Africa an American dignitary tells the villagers,  I bring you warm greetings from my people.

The local raise their arms and respond "Kazanga"

We wish you prosperity

Kazanga they bellow

I promise you years of friendship and economic benefit

Kazanga Kazanga

As the dignitary leaves the podium he tells the chief - That went well.

The chief looks at him then suddenly grabs his arm

Look out - don't step in the Kazanga.

She's getting on a bit now

An elderly man went to confession

Forgive me Father for I have sinned. During the second War a beautiful woman asked me to hide her from the Germans. - I put her in the attic.

No need to ask for forgiveness - under the circumstances that was a wonderful thing to.

But after a while she offered me certain favours in return and I accepted those favours.

People in wartime situations do things that they would not normally do - If you are truly sorry for your actions you are forgiven.

That's a great load off my mind but may I ask you a question

Of course - anything

Well - she's getting on a bit now - Should I tell her that the war's over.

Until next month
